Give each sample a unique, readable identifier and use it consistently on packaging, photographs and the accompanying list. Similar-looking samples still need separate records. If flanges, cores or accessories are packed separately, explain which items belong together. Avoid placing labels over the bore, measuring surfaces or the area to be examined; identification should not interfere with the discussion.
Group the documents into known dimensions, material markings and open questions. State units, measuring locations and the source of each dimension. List the areas requiring attention and relate each detail photograph to an overall view. These might be the bore, flange edge or a connection, without assuming that the sample already suits a particular machine. If it has been used, worn or modified, record what is known. Otherwise a condition caused by use could be mistaken for an original design feature.
Confirm the recipient, address, contact details and sample quantity before dispatch. Keep private delivery information in the necessary shipping documents, not in public news. Discuss protection during packing, whether samples must be returned, the return method and responsibility for costs.
