Comparing a plastic spool sample with a later delivery requires clear records as well as visual checks. Changhui explains a practical way to separate what was observed from what has been confirmed. These suggestions are not an inspection standard for a specific order and do not claim any certification or existing traceability system.
Assign a distinguishable sample reference. Record the receipt date, related enquiry or order, sample quantity and photograph filenames. Preserve any original supplier labels. A reference created for receiving is only an internal identifier: do not present it as a manufacturing batch number or infer a production date from appearance.
Photograph the complete sample and the areas requiring attention. Flange edges, the bore, barrel and connections can be recorded separately, keeping the relevant detail clear. The illustration marked 400mm and PP/ABS is a product reference, not a photograph of a particular delivery or inspection and not proof of acceptance. Its labels do not replace the order material requirement.
Record findings against confirmed documents. Dimensional entries should identify the measuring position, unit and drawing revision; visual entries can describe obvious cracks, missing sections, deformation or foreign objects. Separate measurements, observations, requirements and conclusions rather than writing only “normal”. Agree sampling quantities and acceptance conditions between the parties; this guide sets no universal pass limits.
Preserve facts when a discrepancy appears instead of immediately assigning a cause. Identify the sample, location and photograph, and distinguish pending, discussed and resolved points. Similar appearance does not establish identical material, while different labels do not automatically mean poor quality. Clarify anything affecting mounting or use before a trial, following equipment instructions and workplace safety procedures.
Keep the confirmed sample version and agreement record for delivery comparisons. If dimensions, material or construction change, record the change and its new confirmation basis to avoid mixing revisions. When contacting Changhui, send the sample reference, specific discrepancy, clear images and order requirements together so the discussion can address the actual issue.
