When discussing plastic spools with Changhui, a drawing identifies not only the shape but also the particular requirements under review. Similar filenames or images do not establish that dimensions, material notes or packing requirements are unchanged. Giving each drawing a clear number and revision helps everyone refer to the same information during successive discussions.
A traceable drawing package should, where available, identify the product, drawing number, revision, issue date, units and page numbers. Include a file list for multiple sheets or attachments instead of forwarding an isolated screenshot. Mark missing views, dimensions or notes as incomplete; a blank field does not mean there is no requirement, and an unmarked dimension should not be estimated from the displayed scale.
List each proposed change separately, identifying the dimension location, material wording or technical note that needs review. Retain the preceding revision as a historical reference while clearly marking it as superseded in working records. Changes still under discussion should remain pending, rather than allowing an internal draft to become an apparently agreed basis for an order.
When drawings accompany a physical sample, record the sample identifier and the revision it relates to. Disclose known use, modifications or repairs to the sample. If only photographs are available, identify the object and their reference purpose. A sample difference should not silently override a drawing; record any conflicting features for confirmation by both parties.
Before sending the package, check that PDFs, images and editable files represent the same revision and that their dimensions and notes are legible. Subsequent messages should name the drawing and revision concerned. Changes to previously confirmed requirements may also require a review of quotations, samples or delivery arrangements; earlier terms should not be assumed to remain applicable.
